Key challenges included:

• Knowledge dispersed across multiple SharePoint sites and internal repositories, making it difficult to find the right information quickly.
• Time-consuming manual searches and fragmented access to data.
• Lack of an interactive tool supporting natural, context-based information retrieval.
• The need to standardize internal knowledge and improve onboarding efficiency.
• Difficulties in translating complex, specialized documents while preserving formatting, layout, and domain-specific terminology.

Rezon Bio needed solutions that would simplify access to knowledge and enable teams to work efficiently – regardless of language, format, or location. The goal was clear: boost productivity and turn AI technology into measurable business value.

The first step in addressing these challenges was the implementation of AI Translator – a tool that revolutionized the way employees work with multilingual documentation.  In a highly specialized environment, the ability to automatically translate Word, PDF, Excel, and PowerPoint files from any language into any other, while maintaining the original formatting and structure, proved to be a breakthrough. The addition of a company-specific terminology dictionary ensured precise and consistent translations, eliminating the need for manual edits. Building on this success, BlueSoft developed the next key element – Martachat, an AI chatbot that allows employees to interact directly with the company’s knowledge base.

The tool operates in two modes:

• General AI mode – enables real-time document analysis, content generation, summaries, and message responses.
• Internal AI mode – allows users to search through an automatically updated database of over 4,500 SharePoint documents, asking questions in natural language and receiving precise answers based on verified content.

Key features include:

• Contextual search with source preview,
• Image recognition (with optional text interpretation),
• Topic tags (e.g., HR, Marketing, Operations) for easier filtering,
• Automated document indexing updated daily,
• Custom query templates for repetitive tasks such as CV analysis, email summaries, or presentation drafts,
• Full visual alignment with Rezon Bio’s branding – including logo, color scheme, and UI design.

Together, AI Translator and Martachat form a unified AI ecosystem that enhances knowledge accessibility, accelerates daily operations, and empowers Rezon Bio teams to work smarter and faster.

Project timeline

The implementation was completed in structured phases – from initial design to full production rollout – in just four months:

• Month 1: Preparation phase – needs analysis, architecture design, and selection of AI components.
• Month 2: Deployment of AI Translator – enabling instant document translation while preserving structure and formatting.
• Months 3-5: Development and launch of Martachat in two operating modes – general and integrated with the company knowledge base.

Within four months, Rezon Bio gained access to two fully operational, secure, and scalable AI tools – ready for further expansion in line with the company’s growth strategy.
