From System Limitations to Full Control Over Data – Power BI Implementation at Bibby Financial Services by BlueSoft

Challenge

Bibby Financial Services is an international financial institution specializing in factoring and business financing. In this industry, the quality and availability of financial data directly impact risk management, liquidity, and day-to-day decision-making. Data reported to headquarters must be timely, consistent, and clearly defined.

As the system environment evolved, the existing approach to working with data no longer met the organization’s growing needs. Reports were tightly linked to the operational system, which extended the time required to introduce changes and limited the ability to adjust reporting to current business requirements.

The organization faced several specific challenges:

  • no direct access to system data, which made it difficult to create new reports and modify existing ones,
  • each change required additional coordination and involved processes on the operational system side,
  • KPI definitions and calculation logic were closely tied to the system architecture,
  • daily financial reporting to headquarters had to follow a strict schedule,
  • growing data volumes required a stable and scalable environment.

In practice, this meant limited ability to respond quickly to change. In the financial sector, where regulatory and business needs evolve rapidly, the time required to implement changes has a direct business impact.

Bibby Financial Services needed a solution that would provide more control over the reporting model, standardize KPI definitions within a single data model, and reduce the time required to introduce changes.

Solution

To address these challenges, BlueSoft designed a consistent data architecture from scratch, moving analytical processing to an independent data environment and giving the organization greater flexibility in managing its reporting model.

The solution was based on Microsoft Azure and Power BI, covering both data integration and processing, as well as a unified analytical environment for business users.

Data Architecture in Microsoft Azure

A key element of the solution was the implementation of a central data warehouse in Azure Synapse Analytics. The new environment is responsible for:

  • regular processing of data extracts from the operational system,
  • storing and transforming data in a consistent way,
  • scaling resources in line with growing data volumes.

The architecture was designed to ensure stable performance while allowing for further expansion.

Structured Data Model and Business Logic

At the same time, a detailed analysis of existing reports and KPI definitions was carried out. The goal was not only to recreate them, but also to standardize and organize them.

As part of this work:

  • data structures and levels of detail were analyzed,
  • relationships between tables were designed within a new model,
  • measures and calculation logic were implemented in Power BI,
  • a consistent semantic model was created to support different reporting needs.

The result is a single source of KPI definitions used both in reports sent to headquarters and in local analyses.

Power BI as the Reporting Environment

Based on the prepared data layer, approximately 50 financial, management, and operational reports were implemented in Power BI.

The reports support:

  • financial reporting to headquarters,
  • ongoing analysis of operational performance,
  • monitoring of key business indicators,
  • preparation of data for accounting processes.

Power BI serves as a unified reporting layer built on a single, central data model.

Our Approach

The project was delivered in stages, divided into analytical and implementation phases. Close collaboration between business and technical teams was essential throughout the entire process.

On the BlueSoft side, the project involved Azure architects, data warehouse specialists, Power BI consultants, and a project manager coordinating the work. On the client side, a dedicated team was responsible for defining requirements and validating results.

The work followed these stages:

  • Analysis of requirements and review of existing reports and data structures
  • Design and implementation of the architecture in Microsoft Azure
  • Development of the data model and calculation logic in Power BI
  • Gradual rollout of reports with ongoing business validation
  • Stabilization and transition to a maintenance and development model

The iterative approach allowed new elements of the environment to be delivered in a controlled way, with continuous involvement of business users.

Some reports are now modified by the client’s team, with architectural support from BlueSoft, combining internal ownership with access to expert knowledge.

Results

The implementation of a Microsoft Azure and Power BI-based analytics platform significantly improved how Bibby Financial Services manages financial data. The new environment became a central point of access to information, supporting day-to-day operational and management decisions.

More control over reporting

Bibby Financial Services can now implement changes to reports without involving complex processes on the operational system side. Decision-making is now faster, and teams have greater flexibility in adapting reports to current business needs.

Consistency and reliability of financial data

Standardized KPI definitions and a centralized data model reduced the risk of inconsistencies. Data reported to headquarters is based on uniform rules, increasing confidence in its use across the organization. Finance teams work with consistent information, reducing the need for additional explanations and corrections.

Ready to support further growth

The Microsoft Azure architecture allows the scope of analysis to be extended without reorganizing the entire environment. New reports and model elements can be added without rebuilding existing structures. The platform supports both current operations and future data-driven initiatives.

A lasting change in how teams work with data

The project did not end with implementation. The collaboration with BlueSoft continues in a development model, and some changes are now delivered internally with architectural support. Bibby Financial Services gained not only a new solution based on Microsoft Azure and Power BI, but also greater maturity in data management.

Client’s view

“Building a reporting platform in Power BI was an important step in improving how we work with financial and operational data. We were looking for a solution that would be stable, but at the same time allow us to respond to changing needs without long implementation cycles.

We appreciate direct communication with the BlueSoft team, the ability to discuss requirements on an ongoing basis, and the flexibility in handling changes that appeared during the project. Today, we operate in an environment that supports our daily financial decisions and gives us room to further develop our analytics capabilities. This has been a strong, collaborative partnership built on mutual understanding and commitment on both sides.”

Technologies

The platform for Bibby Financial Services was built using scalable Microsoft cloud technologies, ensuring stability, security, and the ability to further develop the analytical environment.

Microsoft Azure

The entire architecture is hosted in Microsoft Azure, enabling:

  • flexible scaling of resources as data volumes grow,
  • high availability and secure data processing,
  • integration with the client’s existing technology ecosystem.

The cloud-based approach allows further expansion without the need to redesign the environment.

Azure Synapse Analytics

Azure Synapse serves as the central data warehouse, responsible for:

  • processing daily data extracts,
  • data integration and transformation,
  • building a relational data model supporting financial and operational reporting.

The environment is designed to handle growing data volumes and support further model expansion.

Power BI

Power BI serves as the analytical and reporting layer of the platform. Based on the semantic data model, financial, management, and operational reports were implemented for daily use.

The solution provides:

  • consistent KPI definitions,
  • centralized access to reports for business users,
  • the ability to further develop analytics by both BlueSoft and the client’s team.

Automated data processing

The platform includes mechanisms for cyclical data ingestion and transformation, ensuring:

  • regular report updates,
  • reduced manual effort,
  • predictable and repeatable processes.
